Author Guidelines

Welcome to the IJTEMS Submission Portal.

To ensure rapid peer review and high-quality publication, authors must strictly adhere to the guidelines below. Manuscripts that fail to follow these instructions will be returned to the author without review.


1. Submission Overview

  • Submission Method: All manuscripts must be submitted via our Online Submission System (Submit here).

  • File Format: We accept Microsoft Word (.doc/.docx) or LaTeX.

  • Language: Manuscripts must be written in grammatically correct English.

    • Note: Non-native speakers are strongly encouraged to use a professional proofreading service or a native speaker colleague to review their manuscript prior to submission.


2. Double-Blind Peer Review (Crucial)

IJTEMS follows a strict Double-Blind review process. To facilitate this, authors must submit two separate files:

  1. The Title Page (File 1): Contains the Article Title, All Author Names, Affiliations, Email Addresses, ORCID IDs, Acknowledgments, and Conflict of Interest statements.

  2. The Main Manuscript (File 2): Contains the Title, Abstract, Keywords, and Main Text (Introduction through References). NO author names or affiliations should appear in this file.


3. Manuscript Structure

The manuscript should be organized in the following order:

A. Title

Concise and informative. Avoid abbreviations and formulae where possible.

B. Abstract

  • Limit: 150–250 words.

  • Content: The abstract must be self-contained. It should briefly state the Purpose, Methodology, Principal Results, and Major Conclusions.

  • Constraint: Do not cite references or use undefined abbreviations in the abstract.

C. Keywords

Provide 4 to 6 keywords immediately following the abstract. These are essential for indexing (Scopus/Google Scholar).

D. Introduction

Provide background, define the problem, and clearly state the objectives of the work. Cite relevant and recent literature to justify the novelty of the study.

E. Materials and Methods

Provide sufficient detail to allow the work to be reproduced. Methods already published should be indicated by a reference.

F. Results and Discussion

Results should be clear and concise. The Discussion should explore the significance of the results, not merely repeat them. Combined "Results and Discussion" sections are permitted.

G. Conclusions

A short section summarizing the main findings and their implications.

H. References

(See Section 5 below).


4. Technical Formatting

  • Font: Times New Roman, 12 pt.

  • Spacing: Double-spaced (to allow room for reviewer comments).

  • Page Numbers: Number all pages consecutively.

  • Units: The International System of Units (SI Units) must be used.

  • Equations: Must be editable text (use the Equation Editor in Word), not images. Number equations consecutively in parentheses, e.g., (1).

5. Figures and Tables

  • Resolution: Images must be high quality.

    • Photographs/Micrographs: 300 DPI

    • Line Art/Graphs: 600 DPI

  • Captions: Every figure and table must have a descriptive caption.

    • Correct: Figure 1: Thermal conductivity variation with temperature.

    • Incorrect: Figure 1: Graph of results.

  • Citation: All figures/tables must be cited in the text (e.g., "As shown in Figure 2...").


6. Reference Style (IEEE Standard)

IJTEMS strictly follows the IEEE Citation Style. References must be numbered in square brackets [1] in the order they appear in the text.

In-text Citation:

"Recent studies [1], [2] have shown that nanofluids enhance heat transfer. However, Smith et al. [3] argued that..."

Reference List:

  • Journal Article:

    [1] A. B. Author and C. D. Author, "Title of the article," Name of the Journal, vol. 10, no. 2, pp. 100-110, 2024. [DOI URL]

  • Conference Paper:

    [2] A. Author, "Title of paper," in Proc. Name of Conference, City, Country, Year, pp. 10-15.

  • Book:

    [3] A. Author, Title of the Book. City, Country: Publisher, Year.

Important for Scopus:

  • DOIs: You MUST include the DOI (Digital Object Identifier) link for every reference where available.

  • Recency: We expect at least 50% of references to be from the last 5–7 years.


7. Ethical Compliance

  • Originality: By submitting, authors confirm the work is original and not under consideration elsewhere.

  • Plagiarism: IJTEMS uses Turnitin. Similarity >15% is grounds for rejection.

  • Authorship: All listed authors must have contributed significantly.


8. After Acceptance

  • Proofs: Corresponding authors will receive PDF proofs. Corrections should be restricted to typesetting errors; no major changes to the text are allowed at this stage.

  • Copyright: Authors will be asked to sign a license agreement granting the journal the right to publish the work under CC-BY 4.0.

Submission Preparation Checklist

As part of the submission process, authors are required to check their submission's compliance with all of the following items. Submissions that do not adhere to these guidelines may be returned to authors without review.

1. General Requirements

  • [ ] Originality: The submission has not been previously published, nor is it currently before another journal for consideration.

  • [ ] File Format: The submission file is in Microsoft Word (.doc, .docx) or LaTeX format.

  • [ ] Language: The manuscript is written in clear, concise, and grammatically correct English (US or UK spelling). Non-native speakers are encouraged to use professional proofreading services before submission.

2. Blind Review Compliance (CRITICAL)

  • [ ] Anonymized Manuscript: To ensure the integrity of our Double-Blind Peer Review process, the main manuscript file must not contain any author names, affiliations, or acknowledgments.

  • [ ] Title Page (Separate File): A separate file containing the Title, Author Names, Affiliations, Email Addresses, and Acknowledgments must be uploaded as a "Supplementary File."

3. Manuscript Structure

  • [ ] Abstract: The abstract is between 150–250 words and summarizes the purpose, methods, results, and conclusions. It contains no citations or undefined abbreviations.

  • [ ] Keywords: 4–6 keywords are provided that accurately reflect the content for indexing purposes.

  • [ ] formatting: The text is single-column, double-spaced, using a 12-point standard font (e.g., Times New Roman).

  • [ ] Equations: All equations are editable (using an equation editor) and not pasted as images. SI Units are used throughout.

4. Figures and Tables

  • [ ] Resolution: All figures are high-quality (minimum 300 DPI for color/grayscale, 600 DPI for line art).

  • [ ] Placement: Figures and tables are placed within the text at the appropriate points, rather than at the end.

  • [ ] Captions: All figures and tables have descriptive captions and are cited sequentially in the text (e.g., "Figure 1 shows...").

5. References (Scopus Standard)

  • [ ] Style: References strictly follow the IEEE Citation Style.

  • [ ] Completeness: Every reference cited in the text is present in the reference list, and vice versa.

  • [ ] DOIs: Where available, Digital Object Identifier (DOI) URLs have been provided for references. (This is vital for Crossref linking).

  • [ ] Recentness: At least 50% of the references should be from the last 5-10 years to demonstrate currency.

6. Ethical Declarations

  • [ ] Conflict of Interest: Authors have declared any potential conflicts of interest (financial or non-financial).

  • [ ] Plagiarism: The authors confirm that the work is original. The manuscript has been checked against plagiarism (similarity index must be <15%).

  • [ ] Authorship: All listed authors have made a significant contribution to the work and approved the final version.

7. Suggested Reviewers

  • [ ] The authors are prepared to suggest the names and emails of three (3) potential reviewers who are experts in the field and have no conflict of interest with the authors.


Copyright Statement

  • [ ] The authors agree to the terms of the Creative Commons Attribution 4.0 License (CC-BY 4.0), which allows others to freely share and adapt the work with attribution.

The Indo-Eurasian Journal of Thermal Engineering and Materials Science (IJTEMS) is committed to protecting the privacy and personal data of our authors, reviewers, and editors. We adhere to the principles of the General Data Protection Regulation (GDPR) and standard international data privacy laws.

1. Collection of Information

We collect personal information exclusively for the purpose of processing and publishing scientific manuscripts. The data collected usually includes:

  • Personal Details: Name, Affiliation, Country, and ORCID ID.

  • Contact Information: Email address and Phone number (for the Corresponding Author).

  • Manuscript Data: Research content, supplementary files, and peer review reports.

Note: As a Diamond Open Access journal with NO Article Processing Charges (APCs), we do not collect any financial information, credit card details, or banking data from our authors.

2. Use of Information

The names and email addresses entered in this journal site will be used exclusively for the stated purposes of this journal.

  • Editorial Process: To facilitate peer review, editorial decision-making, and communication regarding manuscript status.

  • Publication: To credit authors correctly in the published article and metadata.

  • Indexing: To provide necessary metadata to abstracting and indexing services (e.g., Scopus, Google Scholar, Crossref) for the visibility of the research.

3. Data Protection and Sharing

  • No Commercial Sharing: IJTEMS will not make personal data available for any other purpose or to any other party. We do not sell, rent, or trade author lists to third-party advertisers or marketing agencies.

  • Reviewer Anonymity: In adherence to our Double-Blind Peer Review policy, author details are strictly concealed from reviewers, and reviewer details are concealed from authors.

4. Data Security

We employ industry-standard security measures to protect your data from unauthorized access, alteration, disclosure, or destruction. Our website uses Secure Socket Layer (SSL) encryption to ensure safe data transmission.

5. Rights of the Individual

Registered users (Authors/Reviewers) have the right to:

  • Access their personal data stored in our system.

  • Correct or update their profile information at any time.

  • Request the deletion of their account (Right to be Forgotten), subject to the retention required for the permanent scientific record.
